Front Office Administrative/Receptionist

ROP: $16/hr. – $18/hr., Depends on Experience/hr.

JOB SUMMARY: We are seeking a reliable, detail-oriented Front Office Administrator / Receptionist to manage front desk operations and provide administrative support across the organization. The ideal candidate will have strong communication skills, be proficient in Microsoft Word, Excel, PowerPoint, and QuickBooks, and maintain a professional and welcoming demeanor.

ESSENTIAL DUTIES AND RESPONSIBILITES:
• Greet and assist visitors, clients, and vendors in a professional and courteous manner.
• Answer and direct incoming phone calls; manage voicemail and message distribution.
• Manage scheduling, calendar coordination, and meeting arrangements.
• Perform general administrative tasks such as filing, photocopying, scanning, and data entry.
• Prepare and edit documents using Microsoft Word, including letters, memos, and reports.
• Create and maintain spreadsheets using Microsoft Excel for data tracking and reporting.
• Develop professional presentations using Microsoft PowerPoint.
• Process invoices, expense reports, and basic bookkeeping using QuickBooks.
• Receive and sort daily mail/deliveries; manage outgoing correspondence.
• Maintain front office and common areas in a clean and organized manner.
• Order and maintain office supplies and inventory.
• Support HR and accounting teams with clerical and administrative tasks as needed.
• Other duties as assigned.

QUALIFICATIONS/SKILLS:
• High school diploma or equivalent (Associate’s or Bachelor’s degree preferred).
• 2+ years of experience in an administrative or receptionist role.
• Proficiency in Microsoft Office Suite: Word, Excel, PowerPoint.
• Experience with QuickBooks for invoicing and financial recordkeeping.
• Excellent verbal and written communication skills.
• Strong organizational and multitasking abilities.
• Professional appearance and demeanor.
• Ability to maintain confidentiality and handle sensitive information.

WORK ENVIRONMENT:
